Job Vacancy: Logistics Office at Acacia Mining, Kisumu, Kenya - ONGOING RECRUITMENT
Acacia Mining seeks to employ a Logistics Officer based at the Kisumu Office in Kenya. This role reports to the Section Leader Administration & Logistics and the role holder will be accountable to assist the Section Leader Administration & Logistics to provide logistics support functions for the Acacia Exploration team. The incumbent will ensure that vehicles, procurement and stores management and supply is functional at all times.
This is a six (6) month fixed term contract role, with the work roster being six weeks on and three weeks off.
CORE ACCOUNTABILITIES Procurement • Assist staff as needed on creating clear and understandable purchase requests and other procurement documentation; • Collect quotations and bids from the market for PR-s as assigned by the Supervisor and ensure fair competition and strict adherence to the Acacia Procurement policies and procedures regarding vendor relations. • Preparation of status reports on deliveries for the Kisumu and Musoli offices and accountable for receiving of supplies. • Assist the Section Leader Administration & Logistics and office staff with procurement activities as required. • Assist the Section Leader Administration & Logistics with asset management, including identifying assets during the course of procurement and updating records accordingly. • Purchase of office and camp supplies. • Ensure that the project objectives of quality, cost and schedule are being met. • Negotiate the right buy; right price, right timing, right quality and right quantity.
Vehicles • Act as the head driver for all company vehicles. • General management of Acacia vehicles in co-operation with the Section Leader Administration & Logistics and the assigned drivers. • Maintain administrative vehicle files for each vehicle and ensure that all vehicles have proper on-board vehicle documentation. • Continuous tracking of vehicle/fuel log-sheets and responsible for monthly compilation and submission of log-sheets. • Maintain vehicle movement board daily. • Organize cleaning of vehicles. • Working closely with Section Leader Administration & Logistics to organize regular service schedules for vehicles and maintain service schedule files. • Ensure major repairs are done in a timely manner and report all maintenance needs of the vehicle to transport management on a regular basis. • Ensure security measures for vehicles such as parking, storage of keys, emergency supplies etc. and be responsible for the safekeeping of all vehicle equipment, tools, first aid kits, spares etc. • Ensure that incident reports are completed and filed.
Assets & Stores • Maintain the inventory of office and camp stores and prepare the reports on a regular basis. • Travel regularly to Musoli to inspect goods delivered directly to the field. • Interacts with suppliers in the receiving and inspection of goods – issued Goods and received notes. • Receive the goods as per the description on the purchase order/request. • Inspect goods upon delivery and reject inadequate, broken, low quality and other items not meeting the requirements of the order. • Dispatch goods from the warehouse/office using appropriate Acacia procedures, Waybills and gate passes and update Stock Records and file.
General • Assist as required with logistics in the Kisumu and Musoli office and guesthouse daily workloads. • Cooperate and be of assistance to staff and visitors and assist in troubleshooting potential Logistics problems during daily business. • Other tasks as assigned from time to time.
• Secondary School Leaving Certificate • Bachelor’s Degree in any business discipline will be an advantage
Experience Requirements: • Experience in setting up and managing Logistics systems. • Experience in procurement, Fleet, Stock/ Inventory and Assets Management. • Excellent in negotiation and the ability to work comfortably with an ethnically diverse staff. • Experienced and Licensed driver.
Skills / Knowledge Requirements:
• Effective verbal and written communication • Organizational, prioritization and planning and scheduling skills • Computer skills in Microsoft Office applications. • Demonstrated attention to detail, ability to follow procedures, meet deadlines and work independently and cooperatively with team members. • Conscientious with an excellent sense of judgment. • Ability to work simultaneously on multiple tasks. • Excellent interpersonal skills.
